Clock-in Photos & Export

Turn on photo proof, view captured selfies across the group, and export clock-in records for HR.

Hopshift can require a selfie every time an employee clocks in or out. The captured photo is stored with the clock-in record so HR can review who was actually at the outlet, and the same records can be exported to a spreadsheet for payroll or audit work.


Turning On Photo Proof

Photo proof is configured per company.

  1. Go to Settings → Companies.
  2. Open the company.
  3. Toggle Require photo on clock in.
  4. (Optional) Toggle Require photo on clock out if you want a photo when staff leave as well.
  5. Save.

The next time a member of that company clocks in (or out), Hopshift will open the camera step before the record is saved. The captured photo is uploaded to secure storage and tied to that clock-in record.

Photo proof is enabled per company, not per location. If you operate multiple companies in a group, set the toggle for each one you want covered.


Where to View Photos

Group-level Clock-in page

Go to Clock-in & Attendance in the group sidebar (it sits directly below Group Overview).

  • The default view shows the last 7 days across every company in the group.
  • Each row has a thumbnail of the photo (if one was captured). Click the thumbnail to enlarge.
  • Filter by date range, company, location, employee, status, and "has photo".
  • Pagination is at the bottom of the table.

Approvals tab

The same thumbnails now appear in Approvals → Clock-in and Approvals → Corrections so reviewers can see the photo without leaving the approval flow.

Supervisor scope

Outlet managers see clock-ins for everyone at the locations they manage (not only their direct reports), so a manager covering two outlets sees both outlets' records. Group HR admins see every company.


Exporting Records

The Export CSV button on the Clock-in & Attendance page exports the current filtered view to a CSV file that opens in Excel. Columns include:

  • Date, time, employee ID, name, nickname
  • Company and location
  • Type (clock in / clock out / break)
  • Source (web / mobile / system)
  • Scheduled start/end, variance in minutes
  • Status (Pending / Approved / Auto-closed / Edited / Out of schedule / OK)
  • Has photo (Yes/No), Photo URL (signed, downloadable)
  • Notes, approval reason, edit history

The Photo URL column is a signed link — click it to open the full-size photo in a new tab. Links are temporary and expire after a short window, so re-export if you need to share again later.

Filenames and column headers are in English regardless of your interface language. The data itself preserves Thai/Chinese characters via a UTF-8 byte-order mark, so Excel will display them correctly.
